Privacy Policy

This Privacy Policy describes how ClosingPack LLC, a Georgia limited liability company ("ClosingPack," "we," "us"), collects, uses, shares, and protects personal information. It applies to the ClosingPack website at closingpack.ai and any related services.

We believe in plain language. This policy is meant to be read by humans, not lawyers. If anything is unclear, email hello@closingpack.ai and we'll explain.

1. What We Collect

1.1 Information You Give Us

When you create an account or use ClosingPack, you may provide:

Identity information: name, email address, phone number, business name.
Account credentials: we use Supabase Auth for sign-in. We do not store your password. Supabase handles authentication.
Profile information: for agents, your brokerage, license number, market, and bio. For vendors, your business name, services, license number, insurance attestation, service area, and contact methods.
Payment information: for vendors, payment card details collected by Stripe (we never see or store full card numbers; Stripe holds them). For agents, bank account information collected by Stripe Connect for payouts (same treatment).
Content you submit: blurbs about vendors, business descriptions, photos, booking requests, messages.

1.2 Information We Collect Automatically

Device and usage data: IP address, browser type, operating system, pages viewed, time of access, referring URL. Standard server logs.
Cookies: we use cookies to keep you signed in and to remember preferences. We do not currently use third-party advertising cookies.

1.3 Information From Third Parties

Google Places API: when a vendor links their Google Business Profile, we receive their public business listing data including rating, review count, and business hours.
Stripe: we receive payment status updates, payout status updates, and Connect account onboarding status from Stripe.
Resend: we receive email delivery status and bounce notifications from our transactional email provider.

2. How We Use Information

We use the information we collect to:

Operate the ClosingPack platform: authenticate accounts, display vendor packs, route booking requests, process payments, calculate and pay agent earnings.
Communicate with you: send account confirmations, payment receipts, trial-ending reminders, booking notifications, and occasional product updates. We do not send marketing email to anyone who hasn't given us their email through an account or invitation.
Improve the platform: analyze usage patterns to make ClosingPack work better. We do not sell personal information for advertising.
Comply with law: respond to lawful requests, prevent fraud, enforce these terms, and protect the safety of users.

3. When We Share Information

We share personal information only in these limited ways:

3.1 With Other ClosingPack Users

Agent profiles are visible to vendors and to homeowners who visit the agent's booking page. Agents who opt in to the public agent directory also appear in our public-facing directory listings.
Vendor listings are visible to agents who consider them for their packs, to homeowners who view a booking page where the vendor is listed, and (if the vendor opts in) on our public vendor directory.
Booking requests submitted by homeowners are sent to the requested vendor and to the agent whose pack the homeowner used.

3.2 With Service Providers

We share data with third-party services we use to operate the platform. Each is bound by contractual obligations to protect your data:

Supabase hosts our database and handles authentication.
Netlify hosts our web application.
Stripe processes payments and payouts.
Resend sends transactional emails.
Google (Places API) provides business listing data when a vendor links their Google Business Profile.

3.3 For Legal Reasons

We may disclose information in response to a lawful subpoena, court order, or government request; to investigate fraud or violations of our Terms; or to protect the rights, property, or safety of ClosingPack, our users, or others.

3.4 In a Business Transfer

If ClosingPack is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. Any new owner will be bound by this Privacy Policy or will notify you of any change.

3.5 What We Do Not Do

We do not sell personal information to data brokers or advertising networks. We do not share your information with advertisers for targeting purposes. We do not share lists of users with any third party for marketing.

4. How We Protect Information

We use industry-standard security practices to protect personal information, including encrypted connections (HTTPS), access controls, row-level security policies in our database, and operational practices designed to limit who can view sensitive data.

No system is perfectly secure. If we discover a data breach that affects you, we will notify you in accordance with applicable law.

5. Data Retention

We retain personal information as long as your account is active and for a reasonable period afterward to handle billing, payouts, tax obligations, dispute resolution, and to comply with law. Specifically:

Account data: retained while the account is active and for 30 days after account closure, after which it is deleted or anonymized.
Transaction records: retained for seven (7) years to comply with U.S. tax and financial recordkeeping requirements.
Communications: retained for three (3) years for support and dispute resolution.
Logs: retained for 90 days for operational and security purposes.

6. Your Rights

6.1 All Users

You can:

Access the personal information you've provided through your account dashboard.
Correct or update your information through your account dashboard or by emailing us.
Close your account at any time. Email hello@closingpack.ai if you can't find the option in your dashboard.
Opt out of marketing emails (transactional emails about your account, payments, and bookings cannot be opted out of while your account is active).

6.2 California Residents (CCPA / CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act:

Right to know: request a copy of the personal information we have collected about you in the past twelve (12) months.
Right to delete: request deletion of personal information, subject to legal retention requirements.
Right to correct: request correction of inaccurate personal information.
Right to opt out of sale or sharing: we do not sell personal information. We do not share it for cross-context behavioral advertising.
Right to non-discrimination: we will not deny services or charge different prices because you exercised your rights.

To exercise any of these rights, email hello@closingpack.ai with the subject line "CCPA Request" and provide enough information for us to verify your identity. We will respond within 45 days.

6.3 Other Jurisdictions

ClosingPack currently operates only in the United States and is not directed at residents of the European Union, the United Kingdom, or other jurisdictions with comprehensive data-protection regimes. If we expand to those markets, this Privacy Policy will be updated.

7. Children's Privacy

ClosingPack is not directed at children under thirteen (13) and we do not knowingly collect personal information from anyone under thirteen. If you believe a child has provided us personal information, email hello@closingpack.ai and we will delete it.

8. Cookies

We use a small number of cookies, each for specific purposes:

Session cookies issued by Supabase Auth to keep you signed in.
Preference cookies to remember settings like region or layout choices.

We do not use third-party advertising cookies, behavioral tracking pixels, or session-replay tools. If we add analytics in the future, we'll update this section before doing so.

9. Do Not Track

Some browsers send a "Do Not Track" signal. There is no consensus among regulators about how to respond. ClosingPack currently does not change behavior based on this signal because we do not engage in cross-site tracking.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by posting a notice on the ClosingPack website at least thirty (30) days before the changes take effect. The "Effective" date at the top of this policy will be updated.
